Catching unmarked rolls

An unmarked roll looks harmless until someone needs it. Invoices, tutor pay and a parent asking whether their child was there all depend on the roll.

A roll left for a week is a roll filled in from memory. This guide covers why rolls go unmarked, and how to catch them the same day.

Why rolls go unmarked

  • The tutor runs straight into the next class.
  • Marking happens on paper and is typed up later.
  • Nobody checks until the end of the week.
  • The roll is hard to reach from where the tutor stands.

Each of these is a process problem, not a tutor problem. Fix the process and the rolls follow.

Make marking quick

Make the roll the first thing a tutor sees for the class, on the device they already carry. Keep the marks few: present, late and absent.

Ask tutors to mark at the start of class, not the end. A student who arrives late is easy to change. A roll never started is easy to forget.

Agree what each mark means

Decide, once, how your centre counts each mark, and tell every tutor.

  • Does late count as attended?
  • Is a student who warned you in advance marked differently from one who simply did not come?
  • Who marks a class when a cover tutor takes it?

Rolls only add up across tutors when everyone marks the same way.

Check the same day

Set a time each day when a manager looks for rolls still unmarked from classes that have started.

Message the tutor that evening, while they still remember who was there. A gentle nudge on the day works better than a list at the end of the week.

Follow up absences

An unmarked roll hides absences. Once rolls are marked, call the families of students who were away.

A run of absences is often the first sign a family is thinking of leaving. A call early on can keep them.

Common mistakes

  • Treating unmarked as present. It bills and pays for a class nobody confirmed.
  • Chasing rolls at term end. By then nobody remembers who was there.
  • Paying from the timetable. Pay should follow the classes that ran.
  • Leaving absence calls to whoever has time. Give the follow-up list one owner.

Rolls in Atrium

  • Tutors mark Present, Late or Absent in one tap.
  • Homework, last class’s note and planned absences sit beside each name on the roll.
  • Managers see which rolls are overdue: a class that started with an expected student still unmarked.
  • Tutors get a daily summary in the app that includes classes still needing a roll. Sending it by email is a setting you switch on.
  • Last week’s absences land on a follow-up list with the guardian’s phone, so you call with everything ready.

Questions about rolls

Who should chase an unmarked roll?

The manager on shift that day. Tutors respond faster to a message from the person who runs their afternoon.

What if a tutor marks the wrong student absent?

Let tutors correct their own rolls on the day. Ask for a short note when a mark changes later, so the change is easy to explain.
